Main Meeting:

  • Tuesday, April 21, 2020 8:30 a.m. - 4:45 p.m.

Special Workgroup Meeting:

  • Wednesday, April 22 8:30 a.m. - 11:45 a.m. 

Location: Denver, CO

Local agency WIC staff who currently hold the role of a Local Retail Area Coordinator (LARC), Wellness Coordinator, Breastfeeding or Breastfeeding Peer Counselor Coordinator, Training Advisory Committee member or WIC Director will be invited to attend.

Attendance

Who should attend the State Meeting on Tuesday, April 21, 2020?

All local WIC agency staff are welcome and encouraged to attend. Dietetic interns and students working with your program are invited to attend the meeting. Although there will be no meeting registration fee, any students or interns in attendance will be responsible for all travel, lodging and meal expenses.

Who should attend the special groups workshop on Wednesday, April 22, 2020?

This meeting is by invite only for those folks who currently hold special roles as a LARC, Wellness Coordinator, BF or BFPC Coordinator, Training Advisory Committee member or WIC Director. Invitations will be sent January 2020.

In addition, traveling staff who carpool with a colleague attending a workgroup meeting may also attend a workgroup meeting besides the director meeting. You may or may not get to choose the workgroup meeting you attend, this is dependent on attendance numbers. This is optional and made available in case those who traveled as a group need a work activity. If this applies to you, please speak to your supervisor for approval. At a later date, we will collect your information so we can plan for attendance.

Hotel and travel

When and how do I reserve a hotel room?

Hotel name and reservation information will be shared once the block of rooms opens. This will happen closer to the meeting date to ensure rooms are booked under the correct room block for the correct cost. Directors are responsible for making hotel reservations for their staff. 

Who is eligible for hotel reimbursement? 

Hotel accommodations were included in local agency contracts. This includes hotel stays both the night before and the night of the main meeting. Please reach out to your Director if you have questions.

Please note that hotel room rates and funding included in your contracts are based on double occupancy. You have the option to book single occupancy rooms, however, your agency will be responsible for the additional cost. 

How will travel costs (hotel, mileage, food, etc.) be reimbursed?

Hotel stays are not reimbursed the night of the special workgroup meeting on Wednesday, April 22  since these meetings end before noon. 

All costs will be reimbursed through your local agency, not through the State Office. Therefore, please follow your local agency’s policies and procedures regarding reimbursement. Please note that the State Office is not requiring tax exemption for the hotel room reservations, however, this may be a requirement of your local agency. Please consider carpooling.
